Universitas
For research groups, offices and consortia

One place where the consortium sees the project, and where the report is already being built

Universitas coordinates and participates in European consortia. We take that experience of work packages, deliverables and reporting obligations and turn it into a shared workspace that partners actually use.

The technology we deliver

Digital platform for your research project

A bespoke workspace for one research project or consortium: partner access, structured data and outputs, and the exports that reporting requires.

The result we work towards: work packages, deliverables, owners and dates visible to every partner, with the supporting documents collected as the work happens rather than at the end.

Three modules

01

Partner access

Each partner organisation with its own access, seeing what concerns it and uploading what it owes.

02

Structured data and outputs

Data and project outputs recorded in the structure agreed for the scope, instead of parallel copies in mailboxes.

03

Progress and reporting exports

Status of deliverables and an export prepared for the report the funding programme asks for.

First scope

One work package or one digital deliverable of a single project. It runs with the real partners of that scope before anything else is added.

Acceptance criteria

  • Every work package and deliverable in the work plan exists in the workspace with an owner and a date.
  • Each partner has access and has uploaded at least one document in the agreed place.
  • The document register covers the evidence categories named in the programme rules.
  • The coordinator produces a status view of the project without asking anyone for it.

Scope, price and calendar are agreed in writing before the pilot starts, based on the programme, the number of partners and the working languages.

What we need from you

  • The grant agreement or the approved application, with the work plan.
  • The list of partners and the contact person of each one.
  • The reporting rules of the programme, as you have received them.
  • One coordinator on your side who can convene the partners once.

Next step

Tell us the project, the work package and how many partner organisations are involved. We reply with a scoped fit discussion.

Organise my research project
The sequence, step by step
  1. 01

    Work plan

Work packages and deliverables as approved

  2. 02

    Assignment

An owner and a date for each item

  3. 03

    Evidence

Partners upload documents as the work happens

  4. 04

    Report

The report draws on the register already collected

If you continue: implementation

Implementation extends the same workspace to the group's project portfolio and to the reporting routine of the office.

  • One workspace per project with a shared structure across the portfolio.
  • Consolidated view for the office: status, obligations and pending evidence.
  • Roles for coordination, partners and administrative staff.
  • Support during the reporting period and for the audit questions that follow it.
  • Maintenance across the life of the projects.
What already exists and what is built for you

Existing building blocks

Coordination practice from consortia in which Universitas coordinates or participates, and platform patterns we operate ourselves.

Configuration and adaptation, subject to fit

Configuration to the reporting rules of your programme and to the repositories you already use, subject to a technical fit check.

Custom development

The data structure of your work package and its exports are developed for this project.

Cost depends on the number of users, the integrations required, data migration, languages and support. The proposal confirms price and calendar before any work begins.

Example of application

Where artificial intelligence could help

These are custom developments we can propose, not features already deployed. In all of them a person reviews and approves before anything is used.

Checking consistency across documents

Comparing the work plan, the periodic report and the supporting documents, and listing the differences for the coordinator to resolve.

Classifying reporting evidence

Proposing which obligation each uploaded document covers, so partners are asked for what is genuinely missing.

Summarising partner contributions

Drafting a summary of activity per partner and period, which the coordinator corrects before it is used anywhere.

DATA

Digital Administrative and Training Assistant is an Erasmus+ sport project aimed at identifying clubs' digital needs, designing a training management application and testing digital transformation approaches.

Universitas participates as a consortium partner

Questions we are usually asked

Do the partners have to learn a new tool?
As little as possible. The pilot includes a short guide and one session, and the structure follows the vocabulary of the programme, not of the software.
Can you work on a project that has already started?
Yes. That is often the better case, because the gaps in the documentation are already visible.
Do you write the report for us?
The report is signed by the consortium. Universitas can support its preparation as a consultancy service, and this area makes sure the material it needs is collected and traceable.
Are the consortium projects listed here your developments?
No. In those projects Universitas coordinates or participates in research, training and coordination tasks. The digital components are developed within each consortium, and the public project pages describe objectives, not measured results.

Tell us which need your institution has

Write to us with the process involved, who leads it and the timeline. A specialist from Universitas reviews the case and replies with next steps.

Institutional channels

What to prepare

  • The process involved: accreditation, teaching, projects or institutional data.
  • Who leads it inside the institution and who has to review the result.
  • The systems already in use and the timeline or deadline you work with.

What happens next

  1. 1A scoped fit discussion: we look at the process, who owns it and whether a pilot makes sense.
  2. 2A written scope and quote, with the calendar, before any work starts.
  3. 3The pilot runs and is accepted against the criteria agreed in that document.

Prepare a short brief

The brief is prepared locally on this page. The button opens a draft in your own email application, ready for you to review and send. This page does not submit anything to our systems. Please do not include personal data.
