Platforms, applications and automation for academic quality, research projects, digital education and institutional planning.
This is the technology area of Universitas. The same team that advises universities on quality assurance, instructional design and European projects specifies and builds the systems that support that work. Each engagement starts with a bespoke pilot, scoped to one process, team or programme.
Each page explains the situation we are called for, what the work produces, a scoped first pilot with its deliverables and acceptance criteria, and how the implementation continues. Scope, price and calendar are always agreed in writing before anything starts.
Each card states the project, its public output, the precise role of Universitas and why it is relevant. Participating in a consortium does not mean sole authorship, so the role is written out in every case.
European consortium
Women Fitness Cycle
Public output
A published online course and a published Android application, both openly available.
Role of Universitas
Universitas: consortium coordination. The application is published by Sport Innovation Hub. Content produced with the academic partners.
Why it is relevant
Research becoming a course and an app: the same path a university follows when it wants a research result to reach practice.
Three steps, nothing starts without a written agreement
Cost depends on the number of users, the integrations required, data migration, languages and the support you need. The proposal confirms price and calendar before any work begins.
01
Scoped fit discussion
One short conversation about the process, who owns it and what the first bounded scope would be.
02
Written scope and quote
A document with deliverables, acceptance criteria, price and calendar, agreed before work starts.
03
Pilot and acceptance
The pilot is delivered and accepted against those criteria. Continuing to a wider implementation is your decision.
Capabilities
The detail, if you want it

Solutions
Four areas of work, each linked to a Universitas consultancy service
Each area describes the problem it addresses, what is delivered and who usually leads the project inside the institution. Scope and deliverables are agreed case by case.
Evidence and quality assurance
Need
Documentation for accreditation and monitoring is scattered across drives, mailboxes and spreadsheets, and each review starts by searching for it again.
Deliverables
Evidence map by criterion, a shared repository with owners and review dates, indicator sheets with their data source, and self assessment report workflows with version history.
Expected benefit: less time spent gathering documents and a traceable review before each submission.
Who leads it: Quality assurance units and vice rectorates
Programmes and courses are produced by different teams, with uneven structure, and the link between learning outcomes, activities and assessment is hard to demonstrate.
Deliverables
Course templates and competence maps, production workflow for materials, configuration of the institution's virtual learning environment, and a review checklist shared by the academic teams.
Expected benefit: a comparable structure across programmes and a review that can be documented.
Who leads it: Teaching vice rectorates and training managers
European projects are coordinated between institutions and countries, and deliverables, deadlines and reporting evidence live in parallel copies.
Deliverables
Shared consortium workspace with work packages, deliverables and milestones, a calendar of obligations, a document register for reporting, and dissemination tracking.
Expected benefit: a single place where the coordinator sees status and where partners upload what the report will require.
Leadership teams prepare decisions with figures that come from several sources and do not always agree with each other.
Deliverables
Agreed indicator definitions, a dashboard fed by the institution's own sources, reference comparisons with European programmes, and a reporting routine for governing bodies.
Expected benefit: the same figure means the same thing in every meeting.
Who leads it: Rectorate teams and research centre management
From the requirement to a system the institution owns
01
Requirement
We start from the evaluation criteria, the programme rules or the curriculum framework the system has to serve, and agree objectives with your teams.
02
Design
Data model, roles, integration with the systems already in use and the legal basis for the data involved, prototyped with the people who will use it.
03
Implementation
Delivery in short cycles with institutional staff involved from the first iteration, on your platforms where they exist.
04
Operation
Training, adoption follow up, maintenance and the updates that platforms and regulation impose over time, planned from the first proposal.
Who We ServeOpenClose
Who we serve
Institutions with a public mission
Quality units and vice rectorates
Teams responsible for accreditation, monitoring and internal quality assurance who need their evidence organised and reviewable.
Research and project offices
Offices coordinating consortia, deliverables and reporting across countries, who need shared status and a document register.
Research centres and training managers
Centres that manage programmes and data with small teams, and those responsible for course production and instructional quality.
Why UniversitasOpenClose
Why Universitas
What distinguishes our technical work
Method before code
We specify from the criteria of evaluating agencies, the European frameworks and the reporting rules of each programme, because the same team applies them in consultancy work.
Long experience in academic projects
Universitas has worked with universities and research centres in Europe, the United States and Latin America. We know how a deliverable is specified, produced, reported and reviewed.
We build our own tools
The tools listed in this page support the work of Universitas itself. We keep them running, so we know what maintenance costs.
Accessibility and data protection in scope
We agree accessibility and personal data requirements with the institution at the design stage and document the measures applied in each project. The applicable framework is defined case by case.

Artificial intelligence
Assistance with human review
These are custom developments we can build for an institution, not software already deployed. In all of them a person reviews and approves before anything is used. The example below shows the sequence.
Example of application
How one of these would work
1
Input
Programme documentation
2
Assistance
A proposed classification with references
3
Human review
Validation by the quality unit
4
Use
A review prepared with traceability
Possible applications
Organising evidence
Proposing which criterion each document relates to, so the quality unit reviews instead of searching.
Checking document consistency
Flagging differences between the work plan, the report and the supporting documents before a submission.
Assisting instructional design
Drafting learning outcomes and alignment tables that academic staff then correct and approve.
Where we do not apply it
Grading, admission or progression decisions
Decisions about students remain with academic staff. These systems prepare, they do not decide.
Profiling of students or researchers
We do not build systems that score people. Analysis serves programmes and institutions.
Work
Our own tools and project references
First the tools Universitas has built and operates itself. Then European consortium projects in which Universitas coordinates or participates, included as references for the way we work, not as products of this area.
Tools built by Universitas
Universitas toolFeatured
Institutional self diagnosis
Specified, built and operated by Universitas
An online self diagnosis for leadership teams that reviews the institution's starting point in European projects, quality assurance and programme design, and returns a structured reading of the options available.
A comparison tool that places an institution's position in European programmes next to reference data, used to prepare strategic conversations with rectorates and research offices.
Illustration of the workflow. It is not a screenshot of the tool.
Project references
Universitas participates in these consortia in research, training and coordination roles. The digital components are developed within each consortium.
European consortium
Women Fitness Cycle
Universitas: consortium coordination. The application is published by Sport Innovation Hub. Content produced with the academic partners.
An Erasmus+ sport project on the menstrual cycle and physical activity. Its public outputs include an online course, which states that it is coordinated by Universitas, and an Android application published by Sport Innovation Hub. Other project objectives are not evidenced here.
Digital Administrative and Training Assistant is an Erasmus+ sport project aimed at identifying clubs' digital needs, designing a training management application and testing digital transformation approaches.
Universitas participates as a consortium partner, alongside Sport Innovation Hub. The coordinator is Associação de Futebol de Braga.
An Erasmus+ sport project on recruiting, training and retaining young officials, connecting schools, universities and sport organisations. Its published output is a digital course for university sport directors and refereeing committees. The other project objectives are not evidenced by these sources.
The process involved: accreditation, teaching, projects or institutional data.
Who leads it inside the institution and who has to review the result.
The systems already in use and the timeline or deadline you work with.
What happens next
1A scoped fit discussion: we look at the process, who owns it and whether a pilot makes sense.
2A written scope and quote, with the calendar, before any work starts.
3The pilot runs and is accepted against the criteria agreed in that document.
Prepare a short brief
The brief is prepared locally on this page. The button opens a draft in your own email application, ready for you to review and send. This page does not submit anything to our systems. Please do not include personal data.
